Email Infrastructure

Building Email Infrastructure That Reaches the Inbox at Volume

Set up complete email server infrastructure and managed the warm-up process needed to send thousands of emails without tripping spam and abuse controls.

Engagement snapshot

Who this was for and what it involved

  • ClientMultiple clients needing dedicated, high-volume email sending infrastructure
  • EnvironmentDedicated email servers processing thousands of outbound emails, requiring careful reputation management rather than relying on a shared third-party sending platform.
  • Engagement period2018 to 2023

Delivered by ThirtyZero's founder in senior technical and compliance roles prior to founding the company. Client names and identifying details are withheld under confidentiality.

This case study describes a recurring engagement type delivered for more than one client rather than a single named project. The pattern, and the volume, are consistent across each engagement.

The challenge

What we walked into

Clients needed their own email sending infrastructure rather than relying entirely on a third-party sending platform, but standing up dedicated mail servers creates a reputation problem before it solves anything: a brand-new server sending at volume from day one gets flagged as spam almost immediately.

The technical setup, installing and configuring the mail servers, was the easier half of the work. The harder half was managing sender reputation over time so that infrastructure processing thousands of emails kept landing in inboxes instead of spam folders or abuse queues.

What we did

The approach

01

Set up the email server infrastructure

Installed and configured complete email-based infrastructure, including the mail servers themselves, for each client.

02

Warm up sending reputation gradually

Managed the server warm-up process, increasing sending volume gradually rather than all at once, so mailbox providers had time to build a positive reputation signal for each new sending IP and domain.

03

Monitor and maintain deliverability at volume

Kept infrastructure processing thousands of emails running without triggering spam or abuse flags, adjusting sending patterns as volume and client needs changed.

Results

What came out of it

  • Dedicated email infrastructure stood up and managed for multiple clients.
  • Sending reputation warmed up gradually rather than risking an immediate spam flag from day-one volume.
  • Infrastructure sustained at a scale of thousands of processed emails without triggering abuse controls.

Frequently Asked Questions

Why can't a new email server just start sending at full volume?

Mailbox providers like Gmail and Outlook judge new sending IPs and domains with almost no trust by default. A brand-new server sending thousands of emails immediately looks identical to a spammer's setup, and gets treated that way. Warm-up exists to build a track record before asking for full volume trust.

What does warming up a server actually involve?

Sending gradually increasing volume over a period of days to weeks, watching bounce rates, spam complaints, and inbox placement at each step, and adjusting the ramp-up speed based on what the data shows rather than a fixed schedule.

How many emails can infrastructure like this handle?

This pattern has been used to sustain infrastructure processing thousands of emails reliably. The real ceiling depends on the sending domain's reputation, the mailbox providers being sent to, and how disciplined the ongoing list hygiene is.

Is this the same as using a service like SendGrid or Mailgun?

No. Third-party sending platforms manage reputation on shared or semi-dedicated infrastructure they control. This work is about standing up and managing infrastructure the client owns directly, trading some of that platform convenience for full control over sending reputation and deliverability.
